What it does
Most scheduling tools hand you an empty calendar and leave the puzzle to you. ScheduleSorter takes your rules — who is free when, how many people fit, what must not overlap — and works out a timetable that keeps every one of them. If something cannot be done, it tells you exactly what is in the way.
You do not fill in a calendar. It works out the arrangement that fits in the most people, and hundreds of attendees across dozens of events come back while you are still looking at the screen.
Nobody in two places at once. No room or instructor double-booked. No session over its limit, and nobody placed at a time they are not free. The nice-to-haves — even class sizes, preferred times — you can turn up or down.
Happy with Tuesday yoga? Lock it — day, time, instructor, room — and it reshuffles everything else around it. Locks carry forward, and if one can no longer be kept you are told which and why.
Add one person and one thing moves, not the whole week. A new timetable stays as close to the last one as it can — and that never costs anybody a place.
Anyone it could not place comes back with a reason: not available, every session full, clashes with another event — and it names the event. It also spots an impossible timetable before you sit waiting for it.
One sign-up link per project. People add themselves — no login, no app — and see what each session is, when it runs, and how full it already is.
Every attendee and instructor gets their own timetable link, made once and kept for good. It survives every change you make, so the link you sent in September still works in April.
A calendar link they add once, not just a one-time download. Move a class and it moves on their phone. Everything prints and saves as a PDF with your logo too.
Change the timetable and email just the people whose week is different, with the change spelled out — which class, from when, to when. Your logo on every page and every email, on every plan.
That is the short version. See everything it can do.
How it works
It places everything for you.
List what needs to happen — classes, shifts, sessions — with how many people fit and which days and times each could run. Then add the people who need a place. Instructors and rooms are optional: add them if you want them scheduled, skip them if you do not.
Tick people into events yourself, import your list from a spreadsheet, or share one sign-up link and let people choose for themselves. Someone can sign up for just some of the sessions — two of the four — and you can mark who should get priority.
One click builds the timetable, with a plain reason for anyone it could not fit. Lock the sessions you are happy with, change what you need, and run it again — the rest rearranges around your locks while the week otherwise stays put. When it looks right, publish, and email only the people whose week changed.
See each step in more detail — including what to do when it cannot fit everybody in.
Setting up
Scheduling tools have a reputation for demanding a fortnight of data entry before they will do anything. Here almost everything is optional or already filled in.

Straight answers
The last question is the one most vendors leave out. It is quicker for everyone if you find out now that this builds timetables and is not a booking platform.
It builds the timetable for you. You tell it your events, your people and your rules — how many people fit, who is free when, which days things can run on — and it works out the arrangement that places the most people without breaking a single rule. It is not a calendar you fill in yourself.
No. Both are entirely optional, and many projects never use either. Add them and they are scheduled too — who can teach what, when they are free, which room is big enough — and never double-booked. Skip them and they are simply left out. The only things genuinely required are a project name with start and end dates, your events, and your attendees.
No. Every attendee and instructor gets a personal timetable link when they are created, and it never changes for as long as they exist. It survives every re-run, every republish and every change to the schedule. Send it once; it is still the right link next term.
Yes. Lock any session and its day, time, instructor and room stay exactly where they are; the next time you auto-schedule, everything else is rearranged around it. Locks carry forward automatically. If a lock can no longer be kept the schedule is still built — the lock is dropped and you are told which ones and why.
It tells you why, per person, in plain words: not available at any time this event runs, every session already full, clashes with another event they are enrolled in (naming it), or the event has no slot that fits. It also checks before it starts, and stops you wasting time on a timetable that is already impossible.
14 days, no card required, with the full Essentials feature set. There is no permanent free tier. When the trial ends your data is kept — the account is locked for editing until you pick a plan, never deleted.
Essentials is $24/month, Pro $39/month and Business $69/month, flat per organisation rather than per seat — or £22/£35/£62, €25/€41/€73, A$37/A$60/A$106 and CA$33/CA$54/CA$95 in those currencies. VAT or GST is included in the UK, EU and Australia; in the US and Canada, sales tax or GST/HST is added at checkout. Annual billing is ten months for twelve. Every plan does the same scheduling. Plans differ only in size — how many attendees and events each project can hold — and in the number of admins; Pro and Business also add priority support.
It does not take payments or memberships from your attendees, send SMS or push notifications, or offer a mobile app. You do not drag sessions around by hand — it places everything for you, which is what keeps the result clash-free, and you lock the sessions you want kept. Calendar feeds are one-way, so there is no two-way Google or Outlook write-back. There is no custom domain, no CSV export, and schedules repeat weekly rather than supporting multi-week rotations. Your logo is on every attendee page, and so is a small “Powered by ScheduleSorter” line, on every plan — full white-labelling, with your own domain and no mention of us anywhere, is not offered.
